A booking and administration system for a music school: students, teachers, parents, schedules, rooms, bookings and payments in one place, instead of spread across separate tools.
One system instead of scattered tools
- Before
- The school's administration was spread across Google Calendar, Google Chat, Facebook groups and records kept by hand, so it was easy to miss something.
- Now
- Students, teachers, parents, schedules, rooms, bookings and payments live in one system, and the office no longer has to jump between separate services.
Bookings nobody has to argue about
- Before
- With booking run through a shared calendar it was easy to disagree about whether someone had seen a slot or a change, particularly for make-up lessons.
- Now
- Bookings and changes sit in one place, room by room, and stay plainly traceable.
Students, teachers and payments kept straight
- Before
- Keeping payments, teachers, students and parents straight took a lot of time.
- Now
- Each student is on record with their teachers and payment method, and invitations that have not been accepted yet stay visible until they are.
Courses, bands and rooms in one schedule
- Before
- Schedules and rooms had to be managed by hand alongside everything else.
- Now
- Courses, bands and studio sessions carry their type, fee and upcoming sessions, and every room its type and capacity.
Built to run predictably, and not tied to a provider
A system the school depends on every day has to be stable and predictable, so it does not lean unnecessarily on any one expensive or hard-to-replace service.
The code and the accounts belong to the school. If it ever needs different hosting or a different database, it can be moved without being rebuilt.
What the school says
All through the work I felt he cared about the project as much as we did, and the system came together very efficiently. He is easy to stay in touch with, he brings genuinely good ideas, and at the same time he respects it when we insist on a particular way of doing something.
Real captures of the system in daily use. Every name, email address and phone number is blurred.
